Welcome to the Camp El Olam website. These Terms and Conditions govern your use of this website and, where applicable, any enquiry, quote request, booking, payment, visit, stay, programme participation, or use of the Camp El Olam premises and facilities.
By using this website, submitting a form, making a booking, paying a deposit, visiting the property, or participating in any camp, programme, or activity offered by Camp El Olam, you agree to these Terms and Conditions.
1. About Camp El Olam
Camp El Olam is a youth and education camp facility offering accommodation, camp programmes, group stays, activities, and related services. These Terms apply to all website users, visitors, campers, group leaders, schools, churches, organisations, parents, guardians, and any other persons making use of the Camp El Olam website, premises, facilities, or services.
2. Website Use
You agree to use this website only for lawful purposes and in a way that does not infringe the rights of others or restrict anyone else’s use of the website.
You may not:
- use the website in any unlawful, fraudulent, or harmful way
- attempt to gain unauthorised access to the website, server, systems, or booking functionality
- introduce viruses, malware, malicious code, or any harmful technology
- copy, distribute, reproduce, or exploit website content for commercial purposes without prior written consent
- misuse forms, contact functionality, applications, or booking requests
We may change, suspend, remove, or update any part of the website at any time without notice.
3. Website Information
All content on this website is provided for general information purposes only. While we aim to keep the information accurate and up to date, we do not guarantee that all content is complete, current, or error-free.

Submitting a website enquiry, quote request, or booking form does not create a confirmed booking. A booking is only confirmed once Camp El Olam accepts the booking and the required deposit has been paid.

In the event of an emergency, group leaders and responsible adults must act promptly and contact the appropriate emergency services where necessary.
5. Booking and Payment Procedures
Bookings are only confirmed once a R5,000 non-refundable booking deposit has been paid. This booking deposit will be deducted from the total camp fees.
Payment terms are as follows:
- a R5,000 non-refundable booking deposit is required to secure the booking
- 50% of the camp fees is due 30 days prior to arrival
- the remaining balance is due on the day of arrival
- invoices will be issued in line with the booking process
- an additional fee applies to day visitors, and all day visitors must be reported to camp management
Camp El Olam reserves the right to refuse access, withhold check-in, or suspend services where required payments have not been made.
6. Cancellations and Non-Arrival
The following cancellation terms apply unless otherwise agreed in writing:
- the R5,000 booking deposit is non-refundable
- camps cancelled less than 3 months before the arrival date may be charged the current minimum booking fee
- camps cancelled within 30 days of the arrival date may be charged the full camp fee based on the numbers quoted
- non-arrival campers remain liable for the full camp fee
Any reduction in numbers, changes to dates, or amendments to package requirements may affect the final cost.
7. Arrival and Departure Times
Unless otherwise agreed with camp management:
- the camp is available from 3:00 pm on the day of arrival
- at least one leader from your camp must arrive before 5:00 pm to receive keys and attend the camp briefing
- a late fee of R500 may be charged if the leader arrives after 5:00 pm
- if your departure day is Sunday, you must depart by 2:00 pm
- if your departure day is any other day of the week, you must depart by 11:00 am
- if you stay later than permitted without prior approval, an additional day fee per person may be charged
8. Group Leader Responsibility
It is the responsibility of the camp leader, organiser, school, church, parent, guardian, or responsible adult to ensure that:
- all campers are aware of the camp rules and safety protocols
- all leaders have received these Terms and Conditions before arrival
- proper supervision is maintained at all times
- all relevant permissions, indemnities, medical information, and emergency contact information have been obtained before camp
- any relevant health, behavioural, dietary, accessibility, or safety concerns are disclosed before arrival
Camp El Olam recommends that each group has access to a vehicle at camp in case an injured or ill camper needs to be taken to a hospital or doctor.
9. Participation, Risk, and Safety
Camp El Olam is an outdoor camp environment situated on a working farm. Participation in any camp, programme, activity, or use of the premises involves inherent risks.
Any person visiting or using the Camp El Olam premises or facilities does so at their own risk. Camp El Olam Youth and Education Centre NPC and staff members, as well as Buckhaw Brow Farm owners and staff, will not be held responsible for any loss, damage, injury, or death to any person or their property, whether caused by fire, theft, accident, outdoor conditions, animals, or any other cause whatsoever, except where liability cannot lawfully be excluded.
Nothing in these Terms excludes any rights or remedies that cannot legally be excluded under applicable law.
10. Children and Minors
Where bookings involve children or minors, the person making the booking confirms that they have the legal authority to do so on behalf of the child or minor.
Parents, guardians, schools, churches, and group organisers are responsible for ensuring that all required permissions, health information, emergency details, and supervision arrangements are in place.
Camp Leaders are responsible for making sure that there is a signed indemnity form from the parents or guardians of all the minors attending the camp.
11. Catering
Where meals are included, standard meal times are as follows unless otherwise agreed in advance:
- Breakfast: 8:00 am
- Lunch: 12:30 pm
- Supper: 6:00 pm
Please ensure that campers arrive for meals on time. Meal times may be adjusted if arranged in advance to accommodate your programme.
Campers must bring their own dishes unless dish hire has been arranged. If the camp’s dishes are used, an additional hire fee may apply. Campers are responsible for washing their own dishes unless otherwise agreed.
12. Ablution Blocks and Cleanliness
Please ensure that the ablution block is kept neat and tidy at all times. Wet floors can create a slipping hazard.
Self-Catering Groups are required to provide their own:
- detergents
- brooms
- mops
- cloths
- general cleaning items
Toilet paper is provided unless otherwise stated.
Camp El Olam reserves the right to charge for excessive cleaning, misuse of facilities, or damage caused during the camp.
13. Grounds Rules
A R500 fine may be charged where camp rules are broken. Camps will also be charged for any breakages or damage that occur during the camp.
The following rules apply on the grounds:
- only one person at a time may use the trampoline, except that children under 12 may jump two at a time
- swimming in dams is prohibited
- this is a working farm, so campers and visitors must stay away from machinery and give way to farm vehicles
- all signs must be obeyed
- crops may be sprayed from time to time and related chemicals may be dangerous
- do not cut cane or any other plants
- do not harass or interfere with animals
- all strange animals should be treated as potentially dangerous
- if you use the firepit or braais, leaders must ensure proper supervision and take all reasonable precautions
- no firearms
- no fireworks
- no motorbikes or quad bikes
- no smoking
- no alcohol
- no unreasonably loud music
- quiet time is after 10:00 pm
Camp El Olam reserves the right to remove a participant from an activity, require a group to correct unsafe behaviour, or terminate a stay where serious breaches occur.
14. Fire Safety
Fire extinguishers are available on site.
In the event of a fire:
- move all campers quickly to the volleyball court
- alert camp management immediately
- contact the fire department or emergency services where necessary
All group leaders are responsible for ensuring that campers know what to do in the event of a fire.
15. Load Shedding and Generator Use
Camp El Olam has a generator that may be used during load shedding.
Please note:
- the generator can provide lights only
- it is generally switched on from late afternoon until 9:00 pm
- if the generator is required after 9:00 pm, a charge of R200 per hour may apply
- campers are encouraged to bring torches
Generator use remains subject to operational requirements and fuel availability.
16. Damage, Breakages, and Additional Charges
Camps will be responsible for the cost of:
- damage to buildings, rooms, facilities, equipment, or grounds
- breakages caused during the camp
- missing items
- excessive cleaning requirements
- late arrival or late departure fees where applicable
- additional day visitor costs
- hired dishes or additional agreed extras
- generator use after normal hours where applicable
These charges may be invoiced after the camp if necessary.
17. Privacy and Personal Information
By submitting your personal information through this website, an enquiry form, a booking form, an application form, email, or any other communication, you consent to Camp El Olam processing that information for purposes including:
- responding to enquiries
- preparing quotations
- administering bookings
- programme communication
- managing attendance and operational requirements
- maintaining records
- health and safety administration
- compliance with legal obligations
Where you provide information on behalf of another person, including a child or minor, you confirm that you are authorised to do so.

18. Intellectual Property
Unless otherwise stated, all website content, including text, branding, logos, images, graphics, page design, and layout, is owned by or licensed to Camp El Olam.
